Manuscript and CD-ROM Publication
Guidelines
We are pleased that you
will be presenting your current work at the upcoming
ECTC this May in San Diego! As you know, submission
of an electronic version of your paper is required this
year; only the electronic files of your paper need to
be provided in order for your paper to be included in
the ECTC program Book and CD-ROM.
Expected length of the paper is
6 to 8 pages
(in our final format). Papers that are a bit longer
or shorter are fine.
Easiest of all, if you use WORD or WordPerfect
(or another program) as your word processor, is to use
our pre-formatted template file
(.doc), and use the Format
Specification (PDF) sheet to compare to your
pages. Most questions about formatting
should be answered by these aids. If you have unanswered

2. A Manuscript copy sent by mail
or fax to your session chair.
If you send your manuscript
to us earlier than this deadline, we can assist you with
any formatting problems that we spot, allowing you to
make corrections and send us a fresh file.
Our intent is to have the volume
appear (as much as possible) as though it were created
and edited as a whole, for uniform presentation. Small
deviations won't be noticed, but a favorable overall
appearance contributes to the professionalism of the
conference itself. Your electronic files will be re-formatted
as PDF pages for printing in the book and placing on
the CD-ROM.
We need you to focus on preparing
a word-processor file that we can easily use on our
platform. Using one of our Templates (below) on a PC
or Macintosh is successful for nearly all authors. For
others, we prefer that you use a program that can convert
to RTF or DOC files. We are not able to work directly
with LaTEX or PageMaker files; we can work with you
on optimizing a PDF version that meets our criteria.
For the best possible reproduction
of your paper in the Proceedings, our printer suggests
the following:
- Embed your color figures and
color graphics/photos directly into your word processor
file. If you have glossy photos that need to be scanned
for the paper, clearly mark them and mail them to
us with your files. We will scan and insert photos
and diagrams, if needed.
- Use only white backgrounds
for text and figures, for good contrast/readability.
- Scanning black/white images
at 300 dpi, and color images at 600 dpi, is adequate.
These can be imbedded in the main word processor file.
If you find that the images, printed on a laser printer,
are sufficiently sharp and detailed, the file will
be fine for our ECTC use.
- If you have large color images
to embed, use these steps: in a photo program, set
the bit density to 300 (or 600) dpi (/file/properties);
then resize the photo to the size you wish in the
final paper (a single ECTC column is 88.5 mm / 3.5"
wide). Embed your figure from this smaller file, since
it results in much smaller word-processor and PDF
files.
If you are using a PC or Macintosh, we suggest that
you use our ".doc" template for your manuscript.
This template includes the correct borders, column layout,
and styles for Title Section Headers, Text, and References.

Give your file or files the correct
name. Our preferred filename is your Abstract/paper
number (if you know it): for example, p174.doc would
be abstract 174, and the .doc would usually indicate
a Microsoft WORD document. The suffix (extension) is
optional, but we suggest you use one that hints at the
word processor you used to create the file:
- .doc for Microsoft WORD
- .wp for WordPerfect
- .ws for WordStar
- .ami for AMI Pro
- .txt for the TEXT version of
your file, etc.
If you don't know your Abstract
number, then simply use your last name -- such as "robertson1.doc",
"robertson2.doc", etc. We should be able to
"match" this up with your position in the
Program and successfully re-name them into our format.
If you have several files -- such
as a Word Processor file and several image files that
are your figures (eg, .bmp or .tif files), then use
an alphabetical suffix:
- p174a.doc is the Word Processor
file
- p174a.txt is the ASCII text
version
- p174b.bmp is the first figure
- p174c.bmp is the second figure,
etc.
Your word-processor file (on floppy,
CD, or ZIP media) and Copyright Form are to be sent
to Gail Wesling, 12250
